In plain English
- We collect the basics — name, email, phone, your kid's info — only so we can run your tournament, rental, or program.
- Card numbers never touch our servers — Square handles every payment.
- We do not sell your data. Ever. (See §3.)
- You can delete your account from the portal, or email us to remove a player record.
- Kid data is collected through registration and a waiver a parent or guardian signs electronically — and a parent can review or pull it any time.
The legal text below is the binding version — this summary is for orientation only.
Inspire Academy LLC ("Inspire Courts AZ," "we," "us," or "our") respects your privacy. This Privacy Policy explains what information we collect when you visit https://www.inspirecourts.com or sign up for any of our programs, tournaments, or rentals, and how we use that information.
If you have any questions, email us at InspireCourts@gmail.com.
1. Information We Collect
We collect:
- Contact info — name, email, phone — from contact forms, booking requests, tournament registrations, and account signups.
- Player + guardian info — player name, date of birth, team, emergency contact, allergies — for waivers, check-ins, and roster management.
- Payment info — payment processing happens through Square, which receives the card data directly. We store payment status, amount, Square order/payment IDs, and (if you save a card) processor tokens plus brand and last four digits for display. We never see or store your full card number or CVV. Saved cards are used only for purposes you authorize (optional Auto-Pay, rental incidentals under the Facility Use agreement, or a checkout you complete).
- Account info — if you create a user account, we store your email, name, phone, role (parent, coach, etc.), and a bcrypt-hashed password.
- Usage data — pages visited, device type, IP address, and referral source via Google Analytics, only if you accept analytics cookies (see §6).
- First-party usage and interaction data — we record, on our own systems, which pages are viewed, page performance measurements, and anonymous signs that a page is hard to use (for example repeated taps or an abandoned form — never what you typed). When you are signed in, we also record actions you take in your account (such as viewing an event, registering, or checking in) to show you relevant programs and to run the facility.
- Photos — player and profile photos you or a parent/guardian upload, team logos, and photos taken at the facility for check-in, rosters, and event coverage.
- Game film — video recorded of games and events at the facility, including highlight clips and game recaps, which may show players and be made available to teams, families who order it, or on our media channels.
- Uploaded content — signed waiver images, team logos, and any files you upload through the portal.
If you use the Inspire Courts AZ mobile app, we may also collect:
- Photos — staff use the app to capture shift-proof and task-completion photos (e.g. a cleaned court, a completed setup). These are uploaded to run facility operations. The app only accesses your camera or photo library when you choose to attach a photo.
- Approximate location — for staff, we may use a coarse (approximate) location at clock-in to verify a shift is being started on-site. We do not track your location in the background or when you are off-shift.
- Push notification tokens — if you enable notifications, we store the device push token issued by Apple or Google so we can send game-day alerts, schedule changes, approvals, and staff notifications. You can turn notifications off at any time in your device settings or from your account.
- Device & usage data — app version, device type, and basic diagnostic/usage data to keep the app working and to fix crashes.
2. How We Use It
- Run your tournament, program, or facility rental.
- Send confirmations, schedule updates, and receipts.
- Comply with liability-waiver and safety requirements.
- Send occasional product news via Mailchimp — only if you opt in to the newsletter.
- Measure site traffic and improve the site with our own first-party analytics and, only if you accept analytics cookies, Google Analytics and Meta Pixel.
- Process payments through Square.
- Send push notifications (game-day alerts, schedule changes, approvals, and staff notifications) if you opt in.
- Verify staff shifts on-site and record shift-proof photos to run day-to-day facility operations.
- Investigate abuse, fraud, and rate-limit violations.
Text messages (SMS)
If you give us your mobile number and opt in, Inspire Courts AZ sends text messages about your account and activity at the facility — for example schedule changes, check-in confirmations, registration and payment updates, and, if you choose that option separately, occasional promotional offers.
We collect your mobile number when you provide it during signup, registration, booking, or in your account notification settings. Message frequency varies. Message and data rates may apply. Consent to receive marketing texts is not a condition of purchasing anything from us.
You can opt out at any time by replying STOP to any message, or by turning off text notifications in your account settings. Reply HELP for help, or contact us at the phone number and email listed on our Contact page. We share your number with our messaging provider solely to deliver these messages, and we do not sell it.
3. Who We Share It With
We share limited data with:
- Square — for payment processing. See Square's Privacy Notice.
- Stripe — processes payments for some online purchases (such as certain tickets and subscriptions). Stripe receives card data directly; we store only the payment status and Stripe reference IDs.
- Google — for Workspace (Drive, Sheets, OAuth sign-in), Android push notifications, and — only if you accept analytics cookies — Google Analytics. Files you upload may be stored in our Google Drive.
- Mailchimp — for newsletter delivery if you subscribe.
- Coaches and tournament organizers — roster and check-in info is visible to the coach of the team a player is registered with.
- Law enforcement or regulators — only when legally required.
We also use these service providers ("subprocessors"), who process data only on our behalf to run the service:
- Vercel — website hosting and file storage (uploaded photos, documents, and video).
- Cloudinary — image storage and processing (such as team logos and event flyers) and encrypted off-site backups of our database.
- Sentry — error monitoring, so we can find and fix crashes. Error reports can include technical details about the request that failed.
- Resend — delivery of transactional email (confirmations, receipts, and account messages).
- Twilio — delivery of text messages (SMS) if you opt in.
- Apple — App Store distribution and push notifications to iOS devices.
- Anthropic — AI features our staff use to draft replies to messages and to read receipts. The text being worked on is sent to Anthropic to generate the draft; staff review it before anything is sent.
- Cloudflare — Turnstile bot protection on some forms.
- Meta — the Meta Pixel, only if you accept analytics cookies.
- YouTube and Google Maps — embedded videos and maps on some pages. YouTube videos use the privacy-enhanced (no-cookie) player; Google may still receive your IP address when an embed loads.
We do not sell your personal information to third parties.
4. Children's Privacy (COPPA)
Our programs serve youth athletes. We collect a player's name, date of birth, and emergency contact through registration, which a parent or legal guardian completes or approves. For a minor, we send a signing link to the parent or guardian contact on file; the guardian signs the waiver electronically by typing their full name and checking an agreement box, and we record when it was signed. Parents can review, correct, or request deletion of a minor's data at any time by emailing InspireCourts@gmail.com.
5. Your Rights (CCPA / GDPR)
Depending on where you live, you may have the right to:
- Access the personal information we hold about you.
- Correct inaccuracies.
- Request deletion (see §7).
- Opt out of marketing emails at any time.
- Object to processing or request data portability.
To exercise any of these rights, email InspireCourts@gmail.com. We will respond within 30 days.
6. Cookies and Tracking
We use cookies for session authentication (required — the site won't work without them). Google Analytics and the Meta Pixel are optional: they do not load unless you have accepted analytics cookies, and Google Analytics never loads on account, waiver, guardian-signing, or registration pages, even with consent. You can disable cookies in your browser, but authenticated areas (portal, admin) require session cookies to function.
We also keep a first-party count of which public pages were viewed on which day (path + date only — no cookies, no user id, no advertising identifiers) so we can tell traffic problems from conversion problems.
7. Deleting Your Account
Logged-in users can delete their account from the portal profile page. Deletion removes your user row and unlinks you from any teams, players, scores, or announcements you've touched. Audit-log entries (which record administrative actions) are retained for up to 2 years for compliance purposes.
To delete a player or guardian record (not linked to a user account), email InspireCourts@gmail.com.
8. Data Retention
- Waivers — retained for the life of the athlete's participation plus 2 years (for liability defense).
- Payment records — 7 years (IRS).
- Audit logs — up to 2 years.
- Marketing lists — until you unsubscribe.
9. Security
We protect your data with HTTPS in transit, bcrypt-hashed passwords at rest, rate limiting on authentication endpoints, and role-based access controls on the admin dashboard. No system is perfectly secure — if you suspect your account has been compromised, reset your password immediately and notify us.
10. Changes to This Policy
We'll update this page if our practices change. Significant changes will also be communicated by email to registered users.
